ServiceNow Integration
ServiceNow offers a cloud-based solution that connects and unifies organizations through digitalization, making work easier and more efficient. One of its offerings, Engineering License Management, integrates with solutions from various providers to strengthen license optimization and governance.
Through this integration, Open iT introduces the LicenseAnalyzer and LicenseMonitor, which extend the ServiceNow platform with advanced reporting, monitoring, and analysis capabilities. Together, they provide organizations with a comprehensive view of their software licenses, helping them identify potential savings, ensure compliance, and automate tasks to optimize software usage more effectively.
Infrastructure
The following diagram shows the general data flow of the Open iT integration with ServiceNow.
Components
The integration consists of the following components:
- OpeniT LicenseAnalyzer (ServiceNow Store Application)
- OpeniT LicenseMonitor (ServiceNow Store Application)
- Open iT Shared Software Assets Directory (SSAD)
- ServiceNow Adapter
OpeniT LicenseAnalyzer (ServiceNow Store Application)
OpeniT LicenseAnalyzer is a published application in the ServiceNow Store that provides a consolidated view of software license usage, equipping management with accurate insights for precise decision-making. Its dedicated dashboard introduces product- and feature-level reporting, enabling organizations to gain deeper visibility into license consumption and utilization patterns.
This application resides in the ServiceNow instance and is responsible for authenticating, receiving data from Open iT, creating and deploying Import Sets, and transforming data to make it compatible with ServiceNow’s SAM tables.
OpeniT LicenseMonitor (ServiceNow Store Application)
OpeniT LicenseMonitor is a published application in the ServiceNow Store, designed to provide operations teams with real-time visibility into the status and availability of licenses. By leveraging ServiceNow’s integration and incident response capabilities, it streamlines monitoring and supports proactive license management, ensuring optimal availability and reducing operational risks.
This application resides in the ServiceNow instance and is responsible for authenticating, receiving, and processing data from Open iT.
Open iT Shared Software Assets Directory (SSAD)
The Open iT Shared Software Assets Directory (SSAD) is a cloud-hosted centralized repository that provides normalized software information used by the integration to ensure accurate data mapping.
For full details, see the dedicated SSAD documentation.
ServiceNow Adapter
The ServiceNow Adapter is a plug-in or extension of the Open iT Analysis Server that retrieves data from the Open iT SQL database, processes it for ServiceNow compatibility, and transmits it to the ServiceNow instance using the provided REST API.
For the LicenseAnalyzer application, the adapter creates a scheduled background process that runs daily, immediately after the Analysis Server’s scheduled data processing at 6 AM, to automatically fetch, process, and send data.
For the LicenseMonitor application, the adapter creates two scheduled background processes: one that runs after the Analysis Server’s scheduled license status synchronization, and another one that runs daily to retrieve license expiration information. These ensure near real-time data collection, processing, and transmission.
The adapter also provides options to manually run specific tasks for configuration or ad-hoc data handling.
