Setting Up Data Collection Email
This provides instructions on setting up an email to be utilized in data collection from the Bentley Cloud portal for E365, SELECT and Term Licensing.

Inviting Email to Bentley
To invite an email specifically for data collection purposes, follow the instructions below:
Provide an email address that will be used for data collection from the Bentley Cloud portal.
Make sure that the email address is not configured for Single Sign-on (SSO), as Open iT does not support this functionality for the data collection service. If your organization's default email domain is SSO-configured, use a different email domain. Consult your IT department for assistance.
Go to Bentley's official website, then sign in to your Bentley Administrator account.
The email address used for data collection should be different from the one associated with your Bentley Administrator account. Make sure you use a separate email address specifically for data collection purposes.

Once login, navigate to Login dropdown, then click View Profile. This will redirect you to your Profile page.

Navigate to Services by clicking the dashboard icon at the upper-left corner of the profile page. Under Subscription Services section, select User Management.

Click the Add Users button. A pop-up window will appear.

Enter the provided email for data collection, first name, middle name, last name, and profile country/region. Once done, click the Save button.

A confirmation message will appear indicating that the user was added.
After adding the user, open the invitation sent to the email and follow the instructions in setting up the new email account.

Assigning Co-Admin Role
To enable cloud-based data collection, the email must have a Co-Admin role. Follow the steps to assign a Co-Admin role:
Find the user associated with the provided email for data collection. You can use the search box to filter users. Once found, click the ellipsis at the end part of the user row, then click Modify Roles.

In the pop-up window, select Co-Administrator by ticking the checkbox beside it, then click the Submit button.

Getting the Secondary Key
To export usage data from Bentley Cloud portal, it is necessary to provide the secondary key. To get the Secondary Key:
Navigate to Services by clicking the dashboard icon at the upper-left corner of the profile page. Under Subscription Services section, select Subscription Analytics.

Under Administration section, select Data Export.

In the Data Export page, click the key icon at the upper-left corner of the page. A pop-up window will appear.

If an asterisk ( * ) is present in the Secondary Key field at the window that appears, this indicates that the secondary key was already generated before. In such cases, the key cannot be re-acquired, and you must request it from your Bentley administrator. If no asterisk is visible, proceed to the next step.

After configuring the email, send the data collection email, password, and Secondary Key to Open iT at cbcs@openit.com.
If you prefer not to send the credentials directly via email due to security purposes, Open iT recommends utilizing Password.link to generate a one-time link containing the configured email address and password. Send the one-time link to Open iT at cbcs@openit.com. The content inside the one-time link will disappear after it has been opened once. Therefore, please do not open the generated link that you will be sending.
